Job Description: 

An opportunity for an Executive Personal Assistant to the CFO is available for highly proficient candidate. This position is based in Johannesburg and in the Construction Sector.

  • Act as a first point of contact when dealing with phone calls and correspondence to the Chief Project Officer (“CPO”) and his Contracts Managers;
  • Ability to manage and monitor emails and maintain a high level of confidentiality;
  • Booking and arranging transport and travel;
  • Booking of site visits and ensuring that what is required on site is prepared in advance of the visit;
  • Providing assistance with legal matters and documentation with council etc;
  • Taking of minutes during meetings and ensuring that deliverables discussed are noted and followed through;
  • Management of diary, appointments and ensuring that diary is fully managed and organized;
  • Keeping track of critical deliverables and ensuring that CPO and the Contract Managers are reminded of delivery dates and requirements;
  • Provides support in terms of documentation preparation (i.e. printing, binding etc);
  • Liaising with staff, suppliers and clients;
  • Typing, compiling and preparing reports, presentations and correspondence;
  • Collating and filing expenses;
  • Managing databases and filing system;
  • Assisting with various miscellaneous tasks such as completing corporate governance reporting, gathering legal documents, conducting research etc;
  • Screening calls and providing the CPO with the comfort that certain non-critical tasks are being dealt with;
  • Liaising with various departments on behalf of the CPO and filtering the amount of information and requirements being directed to him;
  • Ensuring that the CPO and the Contract Managers are well prepared for meetings and that all required documentation is prepared in advance;
  • Ensures that the CPO and Contract Managers are aware of key deliverables and delivery dates a week in advance.
  • Attending site with CPO when required;
  • Visiting sites to initiate instructions and/or certain deliverables, dropping off documents etc;
  • Awareness of all projects, their development phases;
  • Assistance and management of the CPOs units when required;
  • Management of the supplier database in order to ensure that the CPO and Contract managers have an updated list at all times.
  • Secretarial / Business Admin diploma;
  • 5-10 years’ working experience for CFO, CED, MD level;
  • MS Office Suite;
  • Project management;
  • Pastel;
Outlook experience.
