Procurement Executive (Procurement/Group Proposals / Tourism)

Job Description:
The main function of this position is customer specific procurement, i.e. special rates / deals / value ads / new product and applying these to both FIT and Group proposals; ensuring my client is competitive within the market and the customer is offered the best available price and product.

 
Responsibilities:
  • Promotional Packages – Quote with year-on-year comparisons and to brief and assist the operations team to secure inventory.
  • Maintenance of the allocation document with inventory (new and changes).
  • Brochure & Website packages – Quote with year on year comparisons; overall and per supplier where relevant.
  • Ensure that package rates and customer specific supplier rates are loaded correctly, timeously and are available to the Reservations team and the customer on their online tariff.
  • Prepare package briefs for Reservations on new packages and on existing packages for new staff.
  • Series & Ad hoc Groups – Quote and assist the operations team to secure inventory. Hand over brief to the Group Consultant if confirmed; or release if group does not materialise. Monitor conversion rates.
  • Educational Bookings – Quote and operate from start to finish. At times travelling with the Educational group to project manage on the ground may be required.
  • Rates and value add negotiations for FIT packages and ad hoc groups with suppliers.
  • Keep updated with industry news via Industry and Supplier newsletter to look out for new and interesting product or events / changes that may enhance our product offering.
  • Highlight relevant updates and changes to the customer on preferred or relevant product.
  • Prepare quarterly Product by Agent report.
  • Grow and maintain supplier relationships for the benefit of Thompsons Africa and our customer with strategic customer specific input.
  • Ensure full compliance with all requirements when sourcing new suppliers (e.g. liability insurance, SLA, Duty of Care).
  • Be available to assist and support the internal customer (e.g. assist the Reservations team with getting bookings confirmed; special rates confirmed; queries on terms and conditions; share rates with the Reservations team etc.).

 
Requirements: Qualification and Skill
 
  • A minimum Grade 12 qualification (essential), with a related Travel and Tourism tertiary qualification (highly recommended)
  • Minimum 4 years Inbound industry knowledge and experience.
  • Working experience in reading, understanding and interpreting contracts.
  • Strong geographical knowledge.
  • Strong product knowledge.
  • Ability to develop and maintain excellent supplier relationships.
